The role provides leadership to administrative staff, coordinates practice resources, maintains compliance with relevant legislation and industry standards, and implements systems that promote high-quality patient care and business performance across both locations.Key ResponsibilitiesPractice Operations<ul style="list-style-type:disc;"><li>Manage the daily administrative operations across both dental practice locations.</li><li>Develop, implement and review administrative procedures to improve workflow, efficiency and patient experience.</li><li>Establish and maintain high standards of customer service and operational performance.</li><li>Monitor appointment scheduling, patient flow and front office processes to maximise efficiency.</li><li>Coordinate operational priorities between both practice locations to ensure consistent service delivery.</li></ul>Staff Leadership and Coordination<ul style="list-style-type:disc;"><li>Allocate administrative resources, equipment and workspace to meet operational requirements across both sites.</li><li>Supervise, support and coordinate reception and administrative staff.</li><li>Allocate duties, monitor staff performance and provide ongoing coaching and guidance.</li><li>Assist with recruitment, onboarding, training and induction of new administrative employees.</li><li>Participate in performance reviews and support ongoing staff development.</li><li>Prepare and coordinate staff rosters to ensure appropriate staffing levels across both practices.</li></ul>Financial and Administrative Management<ul style="list-style-type:disc;"><li>Oversee patient billing, receipting, banking and daily reconciliation processes.</li><li>Monitor administrative records and ensure accurate maintenance of patient information and practice documentation.</li><li>Assist with management reporting, budgeting and monitoring of operational expenses.</li><li>Coordinate payroll information and liaise with external payroll or bookkeeping providers where required.</li><li>Ensure confidentiality of financial and patient information at all times.</li></ul>Compliance and Quality Assurance<ul style="list-style-type:disc;"><li>Ensure both practice locations comply with relevant legislation, privacy requirements, infection prevention protocols, workplace health and safety obligations and applicable dental industry standards.</li><li>Maintain practice policies and administrative procedures to reflect current regulatory requirements.</li><li>Coordinate accreditation activities and quality improvement initiatives where applicable.</li><li>Ensure appropriate maintenance of records required by regulatory authorities.</li></ul>Facilities and Equipment<ul style="list-style-type:disc;"><li>Coordinate maintenance of office equipment, reception facilities and administrative systems across both sites.</li><li>Monitor stock levels of office and administrative supplies and arrange timely ordering and replenishment.</li><li>Liaise with suppliers, service providers and contractors regarding administrative equipment and practice support services.</li></ul>Communication and Stakeholder Management<ul style="list-style-type:disc;"><li>Act as the primary administrative liaison between the Practice Principal(s), clinicians, administrative staff and external service providers.</li><li>Work collaboratively with dentists, oral health professionals and clinical staff to ensure smooth day-to-day operations.</li><li>Assist in resolving operational issues, patient concerns and administrative enquiries professionally and efficiently.</li><li>Support the implementation of business initiatives, practice improvements and organisational objectives across both locations.</li></ul>Skills and Experience<ul style="list-style-type:disc;"><li>Demonstrated experience in practice management, office management or healthcare administration, preferably within a dental or medical practice.</li><li>Strong leadership and people management skills.</li><li>Excellent organisational and time management abilities.</li><li>High level communication and interpersonal skills.</li><li>Experience using dental practice management software.</li><li>Sound financial administration and reporting skills.</li><li>Ability to manage competing priorities across multiple locations.</li><li>Strong problem-solving and decision-making capabilities.</li></ul>Qualifications<ul style="list-style-type:disc;"><li>Relevant qualification is desirable.</li><li>Previous experience managing administrative operations within a dental or healthcare environment is highly regarded.</li></ul>&nbsp;
